The City of Pearland, TX is seeking to hire a Temporary Records Analyst to work in our City Secretary office. The starting salary for this position is $20.58 hourly.

What can I expect in the Records Analyst (Temporary) Role?
The purpose of this job within the organization is to process Public Information Requests (PIR), analyze and process City responses to PIR in compliance with the Public Information Act and the Texas State Library and Archives Commission's records retention schedules, City of Pearland records management ordinances, and department policies and procedures. Maintains electronic and hard copy records on site and in archives. Provides administrative support as necessary.
This job works independently, under limited supervision, reporting major activities through periodic meetings.
Essential Functions:
- Serves as processer for citywide response to Public Information Requests (PIR) from the electronic public information program software, email or in person; researches responsive information; prepares documents, including redaction of exempt information in compliance with the Public Information Act.
- Maintains regular communication with City Secretary staff in regards to PIR requests and status.
- Assists public with public information records policies and procedures, in accordance with related statutory process. When necessary, clarifies and repeats requests to ensure accurate understanding and processing of request.
- Responsible for support and training of City personnel in various records information management work procedures and records center archive processes.
- Responsible for maintaining data in various automated software systems for records management and records retrieval.
- Responsible for maintaining the physical integrity of hard copy records and establishing and maintaining archives and historical records; maintain internal inventory and location of active and archived records and ensuring proper identification and security.
- Responsible for determining and assigning a classification to all records in accordance with City adopted retention schedules and all applicable legal statutes and standards.
- Responsible for organization and retrieval of both hard copy and electronic records in the assigned areas of responsibilities; creation of query and finding aids based on analysis of content and type of
- Respond to records requests for information, from internal customers.
- Seek and obtain records management educational opportunities for professional development.
- Answers incoming departmental calls from the public and responds daily to public and citizen inquiries.
- Models professional workplace attitudes and behaviors that contribute to a positive workplace climate and promotes open communication and trust within the workgroup.
- Provides notary services to citizens and employees as needed.
- Performs all other duties, special tasks, and responsibilities as directed, both independently and/or as part of a team effort.
Minimum Education and Experience Requirements
- Requires Associate's degree or comparable experience.
- Municipal experience preferred.
- Three years of experience in records and file room management, including two years using an automated records management system.
Additional preferred experience
- Advanced knowledge of the Internet, and office software such as MS Word, PowerPoint, Excel, and specialized records management software
- Knowledge of the rules of English grammar, spelling, and Skilled in preparing documents without errors in grammar, spelling, or punctuation.
- Knowledge and understanding of the City, office operations and functions, and public policy. Knowledge of general records information management practices and procedures with specific ability to categorize records series and determine a record's life cycle.
- Working knowledge of the requirements of the Texas Public Information Act, Texas Open Meetings Act, and Texas State Library & Archives Commission Local Retention.
- Uses time effectively to accomplish tasks.
- Communicates effectively both orally and in writing.
- Interacts professionally with citizens and public.
- Ability to research, analyze, and summarize a variety of informational and statistical data.
- Ability to make independent judgments and manage multiple projects.
- Ability to establish and maintain effective working relationships within the organization.
- Ability to communicate effectively with all levels of staff, public officials, and the general public.
Special Certifications and Licenses:
- Valid Texas Driver License
- Texas Notary Commission (must be eligible to become a Texas notary)
- Texas Municipal Clerk's Certification (preferred)
